Billing and payments in Sessio
Sessio keeps a payment record for each fee, so you can see what was paid and what is still open. It is not invoicing software. A completed session with a rate above zero creates a pending record on its own, which means you do not have to remember to add the line after a full day of sessions. That includes live wrap-up, Mark completed on a calendar card, Save as completed on a past slot, and Log session from Notes. You can also add a record by hand. Client and amount are required. A clear service label helps later, especially when you are looking back at a busy month.
Auto-created records carry the session with them. The session type is the default service description. A card payment link is offered only in the live wrap-up, and only after Stripe is connected.
The numbers on the billing screen
Four cards sit at the top. They are the quick read before you open any single row.
Revenue this month is the sum of paid records in the month you are viewing. Outstanding balance is unpaid, overdue, and pending records, and it does not change when you switch months, so it stays a picture of what is still open. Records this month is the count of records dated in that month. Year-to-date is paid records in that calendar year.
Click a card to filter the list under it. The pills under the cards (All, Pending, Unpaid, Paid, Overdue) filter the same list. A record is overdue when it is still unpaid and its due date is before today. Sessio figures that from the status and the due date, so you do not have to mark overdue by hand. There is no batch mark-paid. You mark one row at a time, which is slower, and also harder to do by accident.
Paying by card
Client payments are separate from your Sessio subscription. The subscription is what you pay for the app. Client payments are what a client pays you, on your own Stripe account, for a session you already completed.
Connect Stripe under Client Payments. If setup is incomplete, finish the same form. If Stripe says the account is in review, wait and check again. Do not start a second connection. That usually creates more waiting, not less. Sessio does not take a percentage of the charge. Stripe deducts its card fee, and the rest goes to your connected account. The current rate is in the Stripe dashboard.
On the recap step of a live wrap-up, you will see "Include a secure payment link in the recap" when Stripe is connected and the session rate is above zero. The box starts checked. The email line looks like a payment for today's session, plus a link on sessiocoach.com/pay/. The client does not need a Sessio account. The page shows your practice name, the date, and the amount, so it is clear what they are paying for. The smallest charge Stripe will take is $0.50.
When they pay, Stripe confirms the charge and Sessio marks that record paid. Reload Billing if it was already open. A second visit to the pay page does not start another charge, which is a relief if a client opens the link twice.
Mark paid is still how you record Venmo, PayPal, Zelle, check, or anything else you collect yourself. Those methods can also be printed on a PDF. They are not card checkout.
A refund in Stripe does not change the Sessio record. It stays paid until you delete it. Deleting the record does not refund the card. Refund in Stripe first if that is what you mean to do. To stop offering card payments, disconnect Stripe. New wrap-ups will not include a link. An existing unpaid link will say it is no longer available.
