The calendar in Sessio

The calendar is where sessions are booked, moved, and marked done. Day, week, month, and agenda are four views of the same list, so you are not maintaining four calendars. Day is for the hours in front of you. Week is for the load across the week. Month is for looking further out. Agenda is a chronological list of what is coming, which is often the calmest view on a busy morning. Previous and next move by that period. Today jumps back to the current date.

Booking a time

Create a session from the calendar: client, type, duration, and slot. Sessio checks for an overlap before it saves. If the slot hits another session, you get a warning and Save stays off until you pick a free time. That pause is there so two clients do not land in the same hour.

If you already scheduled it and forgot to start the timer, do not add a second row. Open the card and choose Mark completed. That uses the same completion path as saving a past slot as completed: the note, the pending invoice when there is a rate, and ICF minutes if you checked that box.

To log something that already happened and is not on the calendar yet, schedule the past slot and check that the session already happened. After you save, you can open notes for that client without leaving the calendar, which is handy when the writing is still fresh. Completed catch-up sessions show on that past date and on the Notes timeline.

Reschedule opens the same form, filled in. The "already happened" checkbox is for creating a new past session, not for moving an existing one. Cancelling or removing a session takes it off the active calendar. Notes tied to that session are marked removed as well. This flow does not email the client. If they need to know, tell them yourself. A short note from you is clearer than a silent disappearance from the calendar.

A standing time

Repeat can be weekly or every two weeks. Pick the days, and end the series after a number of sessions or on a date. A series can include up to 104 sessions, and it cannot run more than 12 months from the first date. That is enough for a year of standing appointments without booking them one by one.

When you change or cancel one occurrence, choose this session only, or this and future sessions. Future changes touch upcoming occurrences that you have not already changed. Completed, cancelled, and individually edited sessions stay as they are, so a one-off move does not rewrite history.

If you check that the session already happened, Repeat is turned off. A completed catch-up is always a single occurrence.

Google Calendar

Connect Google Calendar when you want Sessio to read your other calendars for availability and to put coaching sessions on your primary Google Calendar. Sessions you schedule, reschedule, or cancel in Sessio are sent there, so the rest of your day can see them.

Sessio stays the source of truth. Edits you make in Google Calendar do not come back into Sessio. Create and change coaching sessions in Sessio first, then let Google follow.

When you schedule an upcoming session, you can add the client as a Google Calendar guest. Google emails them the invitation and sends updates when that session changes, which saves you a separate "see you Thursday" message. Invites are not sent for a back-dated completed session. If the slot is marked as already happened, leave the guest option off.
