Notes in Sessio are a timeline per client, so the writing stays with the person it belongs to. Two kinds of writing sit on it.

Session notes belong to a completed session. Date, duration, type, ICF, and billing live on that session. Memos are dated writing that is not a session: intake detail, a client email you want to keep, supervision notes, or a line about why someone rescheduled. Memos show a Memo label. They do not carry ICF or duration, which keeps them from looking like a session you forgot to bill.

The notes field on a client profile is different again. That box is standing context. Use a memo when the writing has a date.

Logging a past session

From Notes, Log session records a session that already happened. It creates the note, a pending invoice when there is a rate, and ICF minutes if you check that box. It does not start a live timer, the ambient display, or a recap email, so it is the right path when you are catching up after the fact.

If that appointment is already on the calendar, do not log a second one. Open the calendar card and choose Mark completed, or when you schedule the slot, check that the session already happened. Those paths create the same completed session, and logging twice would leave you with two records of one hour.

GROW and free-form

Session notes open in GROW: Goal, Reality, Options, and Way Forward. That includes live wrap-up, Mark completed, Save as completed, and Log session. New memos open in free-form, because they are not a session write-up and the four boxes would only get in the way.

Use GROW when you want those four sections. Use free-form for a memo, a reflective session, or a fast capture when the grid gets in the way. The toolbar switches between GROW and free-form. Content stays in the fields it was written in, so switching views does not scramble what you already typed.

A few sentences per GROW section is usually enough. You do not need a full essay while the conversation is still warm. Goal is what the client wanted from the session. Reality is what is actually going on. Options are the possibilities that came up. Way Forward is what they will do next. Way Forward is also what the recap treats as action items, so that box is the one your client is most likely to see.

Tags, finalize, and copy

Tags such as Insight, Commitment, and Edge attach from the note toolbar while a note is open. They make later search much kinder. Under the Notes header, the practice-type dropdown limits the client list to people in that category. After you pick a client, search and the Draft and Final tabs narrow the timeline. Tag text is included in search.

Finalize locks the note. Fields become read-only, and the timeline shows a lock. You can unlock it later, edit, and finalize again, so locking is a pause, not a permanent seal.

Copy puts plain text on the clipboard. GROW notes copy with the section labels. Free-form notes copy as continuous text. Tags, when present, are a last line. There is no send-email button on the note itself. Paste into your own mail or document, and only into a channel you trust with client material.
