Sessions in Sessio

A session in Sessio is the hour you are in, plus the record it leaves behind: notes, a billing line when there is a rate, and optional ICF minutes. The live part is meant to stay out of your way so you can listen.

Starting

You can start from two places. On the idle dashboard, use Start Session in the left panel, or the new-session control. If the appointment is already scheduled, open it from Upcoming Sessions so you are not creating a second copy of the same hour. Start stays disabled until a client is selected, which keeps you from launching a timer with nobody attached.

Choose the client, session type, and duration, then click Start. Sessio marks the session active and opens the timer with the side panels. The ambient display, if you have one connected, gets a start signal at the same time, so the client screen begins with you.

The timer

The ring in the center shows remaining time as MM:SS, with a circular track. You also see whether the session is in progress, paused, or ended, plus the session type and elapsed minutes. A wrap-up bar fills during the last five minutes, a quiet cue that the close is coming.

Pause and resume from the timer controls. To change the remaining time, click the timer, set minutes and seconds, and choose Set. The timer stays paused after that change until you resume it, so you can fix the clock without it running away. The ambient display follows the same running, paused, warning, and ended states.

Ending

The close-out starts in two ways. The timer hits 0:00, or you click Stop. A natural end opens on its own. A manual stop opens right away, which is useful when the conversation lands a few minutes early.

The wrap-up walks through the end of the session, including notes, an optional next appointment, and a recap. Only text in Session Focus and Way Forward is pulled into the recap. Notes in Goal, Reality, Options, and free-form stay on your side. They are treated as coach notes, not something to drop into a client email.

When you finish, Sessio marks the session completed, saves notes and action items, and creates a pending billing record when the client has a rate above zero. If you booked a next session, that is saved too. If Count toward ICF hours was on, those minutes are included. You can change the ICF count later in Hours Logging without deleting the session, so a checkbox mistake is easy to undo.

The recap email

The draft includes a greeting, session focus, action items from Way Forward, an optional next-session line, and your sign-off. Subject and body come from Settings, then Practice, then Session Recap Email, plus what you wrote in the session. Sessio opens your mail app with that draft addressed to the email on the client record. You send it from there, so you still get a last look before it goes out. If the client has no email, add one before you rely on this step.

Choosing not to send still completes the session. Notes and action items are kept. If you had included a payment link, that link is still saved, and you can copy it from the confirmation step.

Type and ICF

Built-in session types include Discovery, Goal Setting, Strategy, Check-In, Accountability, Intensive, and Closing. You can add or remove types under Settings, then Sessions, if your practice uses different names. The type is stored on the session, shows on the calendar, and is the default service description on the billing record.

ICF counting is a checkbox when you start, schedule, or log a session. After the session is completed, its duration sits in Total Hours Logged. Hours Logging can add a session to that total or take it off. Removing the hours does not delete the appointment, the notes, or the billing record.
